Description

AP Professionals is working with a Rochester based organization that is looking to add a Business Office Coordinator. This position is responsible for Accounts Payable,  personal account management, maintenance of general ledgers, and month-end journal entries.

This position does require the initial Covid-19 vaccines. 

Responsibilities

Accounts Payable

  • Prepares, inputs, and processes all account payable transactions and weekly check disbursements for operating, resident and foundation accounts
  • Handles phone call inquiries from vendors regarding payments

Cash

  • Prepares bank deposits – remote deposits and at bank transactions
  • Downloads daily bank reports and month end statements
  • Updates deposit logs and check registers
  • Coordinates balancing petty cash and meal ticket boxes and safe
  • Reconciles monthly bank statements

Accounting

  • Assist with monthly journal entries/posting
  • Reconciles monthly corporate credit card statements and generates entry
  • Assists in reconciling general ledger accounts
  • Assists with year-end audit preparation and compiling of cost report schedules

Resident Personal Accounts

  • Records and posts withdrawal transactions
  • Assists in reconciling resident account balances
  • Assists with phone call inquiries from residents and families

General Office

  • Handling postage meter; adding money to it and running mail through the meter
  • Responsible for ordering Amazon items, office supplies and forms
  • Other duties as assigned

Education

  • Bachelors degree preferred in accounting or business

Experience

  • Minimum of 2 years related experience

Knowledge, Skills, Abilities, and Other Characteristics

  • Strong computer skills and experience with Microsoft Office, primarily Word and Excel
  • Has or willing to obtain notary
  • Written and verbal communication skills
  • Ability to read, analyze and interpret general business periodicals
