Facilities Manager

AP Professionals has exclusively partnered with a property management company that is looking for a Facilities Manager. Oversee the management of maintenance on buildings and grounds including mechanical, electrical, fire/life safety, and elevators. Provide leadership, coordination, and direction for maintenance, facilities reinvestments, and upgrades of locations. Prior management experience of large and complex budgets, projects, and organizations required.

This position is a direct hire, full-time position that offers the unique opportunity to serve on the Senior Leadership Team.

• Manage and improve the maintenance programs, operational processes, and standards. Manage budgetary planning and execution of operating expenses and capital expenditures.
• Direct and manage the facilities maintenance and repair operations. Provide oversight of preventative and corrective maintenance for facilities and systems owned by company, as well as oversight for new facilities and facilities modifications.
• Manage and supervise every aspect of major repairs and maintenance of all buildings and premises managed by the Company.
• Manage the projects involved with repairs and maintenance including developing and maintaining work plans, estimating, and scheduling for multiple projects.
• Recommend new materials, systems, and equipment after evaluation is completed.
• Examine the facilities and evaluate the HVAC, lighting, size, conditions, and suitability for the occupancy.
• Coordinate and monitor status of work orders, estimates, materials and labor costs, requests, and purchases materials and equipment.
• Maintain control over all equipment and vehicles of the department including proper and authorized use. Arrange maintenance for equipment as needed. Assesses equipment needs, evaluates pricing, and makes recommendations to the Managing Partner for replacement or major repairs.
• Establish policies and procedures and provide support for disaster management.
• Serve as liaison to designated local community, government, and regulatory agencies and professional associations.
• Provide financial, operational, and statistical data of buildings and infrastructure. Ensure the brand is positively represented by the portfolio of facilities.
• Assist in creating and coordinating the annual operating and capital budgets. Monitor the budgets for reasonableness and corporate compliance.
• Provide utility management and analysis for energy conservation and cost savings implementation.
• Coordinate maintenance and repair activities to ensure budget and schedule objectives are obtained.
• Hire, train, supervise, and evaluate members of the Facilities team.
• Coordinate the communication of operational procedures to the Facilities team.
• Provide direction to the Field Supervisors and staff to ensure efficient execution of all tasks relative to the maintenance and care of facilities.
• Verify department employee timesheets for accuracy and compliance.
• Propose specifications and bid conditions to the Managing Partner for all items requiring bids.
• Determines qualifications of contractors and evaluate insurance and bond coverage for compliance or contract requirements. Monitor construction activities, including periodic site visits to determine compliance with contract plans and specifications and provide notices of non-compliance or sub-standard performance. Negotiates change orders and recommends payment requests for approval.
• Evaluate proposals and bids for various repairs and maintenance projects and select vendors.
• Manage vendors and in-house staff to ensure properties are properly maintained, operated, and documented.
• Directly supervise and coordinate subcontractors and temporary construction workers when needed for projects.
• Proactively communicate information to architects, subs, and vendors to enable them to work toward the successful completion of the project as scheduled.
• Keep compliance with current OSHA regulations. Ensure staff receives on-the-job technical, OSHA, and safety training.
• Maintain records required by government agencies having jurisdiction and/or as directed by management.
• Assess federal and state building codes and the Americans with Disabilities Act, and recommends implementation to the Managing Partner.

• Bachelor's Degree in engineering, facilities, or property management

• 5+ years of experience as a manager or director.
• Prior management experience of large and complex budgets, projects, and organizations.
• Knowledge of all phases of facilities operation, maintenance and repair, planning, scheduling, management and administration of the facility; federal, state, and local regulation safety practices; record keeping and report writing experience.
• Prior experience in budgeting and financial administration.

• Valid and clean driver's license.
• Ability to communicate effectively, utilize interpersonal skills, and maintain effective relationships with tenants, vendors and employees.
• Ability to express oneself clearly and concisely in presenting ideas and concepts both in verbal and written form, including preparation of legible and accurate reports.
