Our client has an immediate opening for a Senior Payroll Specialist. The Senior Payroll Specialist performs all necessary activities to process various payrolls, while working with the field offices to audit and input employment changes including benefits, taxation, and time files. The ideal candidate will have experience processing multi-state payrolls of various frequencies (i.e., weekly, bi-weekly, semi-monthly) and is experienced working with high level of confidentially and sense of urgency.


  • Preparation & processing of assigned weekly, bi-weekly, semi-monthly, and monthly payrolls for over 1,000 employees using ADP Workforce Now.
  • Communication amongst various Businesses within their HR & Finance Departments to ensure proper flow and maintenance of employee data. Promptly responds to inquiries from the outside offices.
  • Input and maintain employee information including new hires, terminations, address changes, employment changes, and benefits.
  • Complete employee data integrations from one or more systems (i.e. Workday, Chrome River, etc.)
  • Input and maintain payroll changes including 401K elections, direct deposits, garnishments, child support orders, tax levies, stock payments, and payroll adjustments.
  • Set up state filings and identification numbers for newly added states resulting from implementation of workforce plan
  • Ability to process manual checks, reversals, stop payments, relocations, and grossed up calculations.
  • Conduct audits of data changes and requests to ensure compliancy with company policy and practices.
  • Audit payroll time files for compliance and successfully upload time file into ADP.
  • Ability to track vacation and sick time accruals according to state labor laws and company policy.
  • Knowledge of multi-state taxation & follows all Federal and State payroll laws.
  • Full understanding of and using payroll codes and transactions in ADP.
  • Ability to run pre payroll reports in ADP and reconcile all payroll data prior to transmission to ADP.
  • Report employee information to proper benefit vendors including HSA and Stock Options.
  • Create and run custom reporting in ADP for various projects.
  • Work with ADP client reps for various projects and issues.
  • Maintain company files in FTP Site.
  • General Admin duties such as filing, photocopies, scanning etc.
  • Follow all Payroll Procedures and Company Handbooks to ensure accuracy.
  • Participate in problem solving and special projects within the Payroll Department including acquisitions, HRIS implementations, open enrollment, and year end.
  • Aid as a backup within the department to cover personal time for fellow staff.


  • Associate Degree in Business Administration / Finance
  • 5+ years of multi-state payroll experience performing the essential payroll functions; 7+ years in lieu of degree.
  • This position works with export-controlled material.  Only US persons (US Citizen or lawful permanent resident) are able to work with export-controlled material.


  • Bachelor’s Degree
  • Understanding of IRS guidelines for Pre and Post tax deductions.
  • Understanding of IRS compliance and limitations in regard to 401K, ACA, HSA, FSA, and FICA.
  • Self Starter and is able to accomplish expected tasks with minimal supervision; Ability to multi-task and maintain composure under pressure.
  • Possess a thorough understanding of confidentiality and non-disclosure set forth by HIPPA.
  • Intermediate to advance computer skills in regards to Excel, Outlook, and Word.
  • Intermediate level of HRIS systems especially in ADP & ADP Workforce Now.
  • Must have the ability to exercise a high level of diplomacy and tact; excellent customer services and interpersonal communication skills; Cultural sensitivity and demonstrated ability to work with diverse groups.
